A booking request is different from a confirmed booking
Clarity at the end of a call prevents confusion later.
Capturing a preferred date is a booking request. It becomes a confirmed booking only when the authorised booking process has accepted it. The caller should be able to tell which outcome occurred.
If your calendar supports a reliable connection, the agent can follow the agreed process to check availability and request a booking. Confirmation should come from that system.
If direct booking is unavailable, a structured inquiry can still help. Capture the preferences, send them through the agreed staff process and make clear that the team must confirm availability.
This applies to clinic appointments and hotel reservations. Real-time room rates, inventory and payment status should come from the systems responsible for them.
